Frequently asked questions about time tracking and Business Central

The most common questions about legal time tracking requirements, Business Central integration and how dvgtime works.

What is dvgtime?

dvgtime is a Spanish SaaS workforce management platform by DAVISA INFORMÁTICA S.L.: time tracking (clock-ins), absences and leave, shifts and rosters, project hour allocation and cost calculation. It works as a standalone app and optionally offers native integration with Microsoft Dynamics 365 Business Central.

Does dvgtime comply with mandatory time tracking requirements in Spain (art. 34.9 ET)?

Yes. dvgtime records each employee's daily working hours in line with Article 34.9 of the Workers' Statute (Estatuto de los Trabajadores), with an immutable and auditable history, and makes records available to employees, their representatives and the Labour Inspectorate at any time. You can read more in our guide to mandatory time tracking.

Can I prove that a record has not been tampered with?

Yes. Every clock-in is stored with a timestamp and user identification, and every change records who made it and when. Showing an inspector an app is not enough: you must be able to certify who clocked in, whether a record was modified, and that the information is available instantly. That is exactly what dvgtime is designed for.

What is the best time tracking solution for a company using Business Central?

For a company already working with Microsoft Dynamics 365 Business Central, the ideal choice is a time tracking tool natively integrated with the ERP, to avoid duplicating master data or exporting records by hand. dvgtime is built for this: employees, projects and cost centres live in Business Central and clock-ins flow back to the ERP idempotently. We cover this in detail in how to handle time tracking in Business Central.

How does dvgtime integrate with Microsoft Dynamics 365 Business Central?

Via a connector that self-installs with a connection key, with no configuration needed in Microsoft Entra ID. Install the dvgtime extension in Business Central, paste the key from the portal into the connector settings and activate it. From that point, clock-ins and absences are imported automatically. You will find the step-by-step guide on the help page.

What editions does dvgtime have?

Three: Embedded (100% inside Business Central as a native extension), Cloud (standalone SaaS, no ERP needed) and Connected (SaaS and Business Central synchronised, with Business Central as the single source of truth).

Can employees clock in from a mobile phone with dvgtime?

Yes, from mobile, kiosk or web, with a reliable timestamp and an auditable history. Mobile clock-in is valid as long as it is reliable and, if geolocation is used, handled in compliance with GDPR. We explain this in mobile clock-in: legal requirements.

How will my employees see the app?

The easiest way to find out is to try it yourself: download the dvgtime app on your own phone and create an account. As soon as you sign up you go straight into the app and, as an unlicensed user, you can browse it and see exactly what your employees will see. To record real clock-ins and time entries you only need to buy a licence.

How can I see my employees' geolocation?

dvgtime records the geolocation of every clock-in automatically. If the employee clocks in from their phone —rather than a company computer—, the device itself asks them to allow the location permission the first time. You can also assign allowed locations to each employee: if someone clocks in outside their assigned location, the system sends you an automatic alert.

Does dvgtime work if I don't use Business Central?

Yes. The Cloud edition is a fully standalone SaaS platform that requires no ERP: multi-company, with per-client data isolation and self-service onboarding. If you add Business Central later, you can move to the Connected edition.

How long must working-time records be kept?

Article 34.9 of the Workers' Statute requires records to be kept for four years, accessible to the employee, their legal representatives and the Labour Inspectorate. dvgtime maintains an immutable and auditable history to meet this requirement.

Is each company's data isolated from other clients?

Yes. dvgtime is multi-tenant with strict per-company isolation: each client can only see and access their own data.

Can dvgtime calculate labour costs per project?

Yes. It lets you allocate hours to projects and cost centres and apply a rate per employee, giving you the cost per project, team or period. In connected editions, this data flows into Business Central ready for invoicing and analysis. More detail in how to calculate labour costs per project.

Is support included?

Yes. The licence includes all product updates. For additional functional support we offer optional packs of 10 hours (900 €). An hours block for questions and queries. It does not expire: it only ends by consumption.

Does it comply with current labour regulations?

Yes. dvgtime complies with Spain's Real Decreto-ley 8/2019 and art. 34.9 of the Workers' Statute: it logs each person's working hours, retains the history for the legally required period (4 years) and keeps it available and auditable for a labour inspection.

Is Business Central required?

No. dvgtime works on its own via browser, mobile app and kiosk, with no need for Business Central. If you use it, we offer an optional native connector that pushes clock-ins, absences and project costs to the ERP — and your employees clock in without a Business Central licence.

Where can my employees clock in from?

Wherever they work: office, construction site, on the road or working remotely. They have access to a mobile app (PWA), a shared kiosk on tablet with QR and PIN, and a responsive web interface, with optional geolocation on every clock-in.

Does it handle leave, projects and costs?

Yes. In addition to time tracking, dvgtime manages leave and absences with balances and two-level approval, configurable onboarding, work reports by concept and unit, project allocation, profitability and cost per employee. It is a complete workforce management platform.

What is the best software for mandatory time tracking in a Spanish SME?

The best time tracking software for a Spanish SME is the one that, beyond clocking in, lets you prove compliance: tamper-proof records with a timestamp and employee identification, a full change trail, 4-year retention and instant export for the Spanish Labour Inspectorate. dvgtime meets all four criteria and adds holidays, work reports and per-project costs in the same platform, from €5 per employee/month.

What fine can the Spanish Labour Inspectorate impose if I keep no time records?

Failing to keep working time records is a serious labour-relations infringement, with fines ranging from €751 to €7,500 per company depending on the degree. On top of that comes the bigger risk: without reliable records, any overtime claimed by an employee is presumed true. A tamper-proof, traceable record like dvgtime's is the company's defence on both fronts.

How do I track the hours my team spends on each site or project?

With digital work reports and hour allocation: in dvgtime, each employee or foreman logs from their phone the hours, labour, machinery and units (m³, lm, pcs) of every site or project. The system turns those reports into real cost per project and shows you up-to-date profitability, with no spreadsheets or paperwork.

Can I manage my employees' holidays and absences without spreadsheets?

Yes: dvgtime includes full holiday and absence management. Each employee requests their days from the app, the system tracks the annual balance, approval goes through two levels (manager and management) and the weekly schedule shows who is in and who is away. Sick leave and other absences follow the same flow, with an audited history.

How is dvgtime different from other time tracking apps like Sesame or Factorial?

Three practical differences. First: dvgtime focuses on the provable integrity of the record (change trail, overtime only when pre-authorised, location alerts), built to stand up to a labour inspection. Second: it includes work reports and allocation of hours and costs per site or project, ground that generalist HR apps don't cover. Third: it is the platform with a native connection to Microsoft Dynamics 365 Business Central — labour costs flow into the ERP on their own. See the full comparison.
